Fuel Administrator

Role Summary:

The Fuel Administrator is responsible for maintaining accurate fuel purchase records and transactions and reporting the results to both senior leaders and external agencies.

Key Duties & Responsibilities: 

  • Oversee the download, review and edit of weekly fuel transactions
  • Maintain fuel network, fuel cards, PIN numbers and pricing data
  • Download, review and report fuel chargeback program transactions
  • Track owner operator compliance
  • Verify and code vendor invoices
  • Enter cash fuel and external fuel card purchases to ensure completeness
  • Enter and process External Reefer fuel purchases to ensure completeness and reimbursement
  • Assist with verification and submission of fuel tax filings
  • Prepare Management fuel reports
  • Assist with annual renewal of International Fuel Tax Agreement
  • Report Mileage on Leased Equipment
  • Prepare reports for senior leaders - MPG reports, gas purchases, etc.
  • Manage Bulk fuel purchases and disbursements
  • Run and and review weekly/monthly fuel exception reports
  • Handle fuel phone calls from internal stakeholders
  • Liaise with fuel vendors
  • Other tasks as required

  • Strong analytical and organizational skills
  • Positive and professional attitude and etiquette
  • Industry experience will be considered an asset
